Part 2: Takeaways from the 2025 FSI User Conference – Strategic Insights for Healthcare Maintenance Management

Building on the CMMS advancements highlighted in Part 1 of the 2025 FSI User Conference recap, the second half of FSI’s 2025 User Conference shifted the focus toward strategic leadership, workforce well-being, and data-driven planning shaping the future of healthcare maintenance management.

With insights led by healthcare facilities and HTM leaders from across the country, these sessions reinforced a shared mission: enabling safer environments, strengthening operational resiliency, and elevating the role of maintenance within every healthcare organization.

Supporting Team Resilience Through Mental Health & Wellness

One of the most impactful sessions of the conference, “Normalizing Conversations about Mental Health & Wellness,” brought together guests Ruben Garcia, CommonSpirit Health, Jesse Flores, Acme Architectural Hardware, Thomas Johnson, Psychotherapist & Performance Coach, PTP Counseling, and Jackie Marroquin, Director of Facility Management, Methodist Healthcare San Antonio.

The discussion highlighted the importance of open communication, vulnerability in leadership, and peer-driven support systems that help break stigma across maintenance teams.

Why it matters: Staffing shortages and demanding operational environments mean HFM and HTM teams are under more pressure than ever. Normalizing conversations about behavioral health helps support retention, teamwork, and long-term employee well-being.

Maximizing Hospital Space Utilization and Room Readiness

As hospitals face growing demands within limited footprints, space optimization took center stage in “Beyond Reimbursement Reporting: Unlock the Full Potential of Space Manager,” presented by Ted Pappas, Business Development Manager at FSI. The session emphasized the value of cloud-based space visibility, data-driven decision-making, and workflows that strengthen collaboration across departments.

Meanwhile, in “Enhancing Room Readiness with Clipboard and Rounding,” Bill Harpin, Operations Manager of Facilities at Gaylord Specialty Healthcare was joined by FSI's Product Manager Jen D’Alessio to share how proactive room inspections led to a 78% reduction in patient-generated work orders and increased patient satisfaction.

Why it matters: For HFM and HTM teams, well-managed spaces support financial sustainability, while proactive room maintenance helps ensure environments are ready for every patient transition.

Strengthening Ownership Through In-House Expertise

In a session on “Promoting In-Sourcing and Capital Decision-Making,” Patrick Schubert, Regional Director, SSM Health, and David Fox, Sr. Director of Implementation, FSI, demonstrated how insourcing can help hospitals improve cost control and workforce alignment. Attendees saw how teams can strategically repatriate high-value technical services to reduce outsourced spend and develop long-term internal expertise.

Why it matters: As operational budgets tighten, insourcing empowers hospitals to build skilled internal teams while unlocking savings that can be reinvested into safety, staffing, and infrastructure improvements.

Optimizing Healthcare Maintenance Strategy with Artificial Intelligence

Turning data into action was the theme in “Leveraging Analytics & AI: Answering the Tough Questions with Data,” presented by Ross Brown, Business Systems Analyst at The Ohio State University Wexner Medical Center and Mike Zimmer, Director of Customer Solutions at FSI.

The session highlighted how presenting data in the right format for each stakeholder group enables more informed operational planning. Attendees also saw a demonstration of CMS Analytics AI+, which allows users to explore CMMS data using natural language queries.

One of the largest panel discussions, “State of the Healthcare Industry – Macro Trends and Laser Focus,” featured Suzanne Rahall, Director of Sales, FSI, Jordan Cram, CEO at Consertus and Dennis Ford, ASHE President-elect, examining how interoperability, AI adoption, and data standardization are driving the next era of healthcare facilities management.

Why it matters: With increasing regulatory oversight and capital constraints, maintenance strategy must be guided by clean, standardized data. AI-enabled analytics help uncover insights faster — supporting compliance readiness.

Community, Collaboration, and a Look Ahead

Beyond the sessions and hands-on learning, the FSI User Conference also celebrated the healthcare facilities and HTM community it serves. The event concluded with an evening at the Denver Museum of Nature & Science — a beautiful setting to recognize shared accomplishments and strengthen professional connections.
