Part 1: Takeaways from the 2025 FSI User Conference – Advancements in Healthcare CMMS

Discover key takeaways from FSI’s 2025 User Conference—new CMMS innovations, automation tools, and mobile solutions shaping healthcare maintenance.

The 11th FSI User Conference has officially wrapped up, with three unforgettable days dedicated to our healthcare facilities management (HFM) and healthcare technology management (HTM) customers from across the country.

This year’s event was one of our largest yet, bringing together more than 145 attendees in Denver, CO — including CMMS administrators, technicians, industry partners, and FSI team members. At the heart of a successful user conference are the sessions that blend expertise from small and large systems alike, and the unique perspectives of HFM and HTM leaders navigating today’s complex regulatory and operational landscape.

As healthcare’s leading CMMS, FSI is proud to offer a free User Conference for its customers — where learnings extend far beyond the event, offering actionable insights that every HFM and HTM leader can apply to strengthen maintenance operations and improve compliance readiness.

Innovations Shaping the Future of Healthcare Maintenance Software

One of the most popular sessions, “2025 Recap and What’s Next,” led by Director of Product Experience Joe Stockman, showcased the latest developments in FSI’s CMMS — introducing new capabilities that enhance asset visibility, automate administrative tasks, and strengthen readiness for Joint Commission and AHJ inspections.

New features included:

  • Learning Modules with in-product guidance for scheduling, performing, and documenting maintenance procedures.
  • An updated Rounding tool with mobile access, configurable dashboards, and an AI-powered Image Analyzer that generates descriptions from inspection photos.
  • Analytics AI+, enabling users to explore maintenance data and performance trends using natural language queries.
  • An improved Space Manager with the new Asset Area Served feature, linking equipment to the spaces they support for better visibility and compliance tracking.

Why it matters: For HTM and HFM professionals, these updates aren’t just convenience features — they’re tools to help reduce inspection risk, increase technician productivity, and ensure your CMMS works as a living compliance record, not just a data repository.

Streamlining Maintenance Through Automation

In “Administrative and Automated Workflows,” Jen D’Alessio, Product Manager, and Brylie Worth, Customer Success Account Manager, demonstrated how automation tools simplify daily operations through configurable email triggers, scheduled reports, and live dashboards.

Attendees saw how automated work-order escalations and zone assignments help teams stay ahead of requests, transforming the Healthcare CMMS into a more predictive maintenance system.

Why it matters: Staffing shortages and increasing compliance pressures mean every technician minute counts. Automation helps HFM and HTM teams eliminate repetitive tasks, close the communication gap, and redirect focus to higher-value work — keeping maintenance operations resilient and proactive.

Driving Operational Efficiencies with Flow

Continuing the automation theme, Jen D’Alessio joined Joe Martino, Director of Operations at Northwell Health, to share real-world applications of Flow — FSI’s no-code automation engine. A Northwell case study showed how Flows cut redundant steps and enabled technicians to complete required documentation with one-button actions.

Why it matters: For large health systems, process consistency is key to compliance and safety. Flow helps translate institutional knowledge into repeatable, automated actions — ensuring nothing falls through the cracks, even as teams evolve.

Optimizing Assets and Ensuring Compliance

In “Managing the Lifecycle of an Asset,” Rick Joslin, Senior Solutions Architect, shared best practices for capturing key data throughout the asset lifecycle — from acquisition through disposal. He demonstrated how leveraging analytics can optimize total cost of ownership and guide smarter replacement decisions.

Meanwhile, in “Making the Most of Your Regulatory Dashboards,” Joe Stockman and Rick Joslin showed how FSI’s CMMS centralizes accreditation standards (TJC, DNV, and others) and links asset categories to procedures to maintain compliance.

Finally, the general session “Tackling ‘Unable to Locate’ and ‘Unable to Access/Perform’” offered strategies like integrating RTLS data and automating follow-ups through Flow — turning a common frustration into a compliance opportunity.

Why it matters: For HTM leaders, asset data drives capital planning and risk reduction; for HFM teams, it ensures safe, compliant environments. Unified dashboards and automated documentation are essential to keeping both sides of the operation inspection-ready.

Mobile Tools for Empowering Technicians

In “Mobile Tools at FSI,” Shawn Hewitt and Manny Wolfe unveiled two major mobile updates:

  • Inbox, a lightweight app that lets technicians complete work orders in just a few taps.
  • An upgraded Rounding app, built specifically for smartphones.

Early adopters Paul Kitzmiller (Penn State Health) and Sam McFarlane (University of Utah Hospital) shared how mobile access keeps technicians connected and documentation accurate in the field.

Why it matters: Empowering front-line staff with easy-to-use tools directly impacts service quality and response time. For HFM and HTM leaders, mobility is no longer optional — it’s the foundation for accurate data capture, real-time communication, and improved technician engagement.
